Privacy Policy

This Privacy Policy explains how personal information is handled when you use the plantrack.app website, web application, mobile applications, and related PlanTrack services (together, “PlanTrack”).

1. Information we collect

Depending on the features you use, we may process:

  • Account information: name, email address, language, time zone, account identifier, email verification state, and information needed to authenticate you. Passwords are stored only as protected hashes.
  • Third-party sign-in information: if you choose Google Sign-In, we receive profile information authorized by you and Google, such as your email address and name.
  • User content: life domains and assessments, goals, tasks, calendar plans, habits, trackers, notes, reflections, period reviews, relationships between items, change history, and attachments.
  • AI feature data: your messages to the AI coach, generated responses, discussions, accepted or rejected proposals, and relevant PlanTrack context needed to answer.
  • Support information: the content of support requests and contact details you provide.
  • Technical information: IP address, browser and device type, app version, timestamps, error details, sign-in events, and security logs.
  • Website preferences: your selected language is stored in the pt_lang cookie. The application may also store session data and interface preferences in your browser or device.

We receive information directly from you, automatically through your use of the service, and from Google when you choose the relevant sign-in method.

2. How we use information

We use information to:

  • create and secure your account, authenticate you, and restore access;
  • store and display your plans and user content;
  • provide guided planning and review workflows;
  • provide search, change history, synchronization, and attachments;
  • answer support requests;
  • prevent abuse, investigate errors, and protect the service;
  • provide AI features when you request them;
  • comply with law and protect users and ETB Studio LLC.

The legal basis may be performance of our agreement with you, our legitimate interest in operating and securing the service, your consent where required, or compliance with a legal obligation.

3. AI coach

The AI coach acts only after you interact with it. To prepare a response, PlanTrack may send the selected AI provider:

  • the text of your request;
  • previous messages in the discussion;
  • goals, tasks, plans, reviews, and other account data relevant to the request;
  • technical instructions required to operate the feature.

AI can be wrong. Proposals to create or change information are not applied automatically; each change requires your confirmation.

Do not include information that is unnecessary for planning, especially sensitive personal information, medical records, financial credentials, passwords, or government identifiers.

4. When we share information

We may use service providers that help operate PlanTrack, including:

  • application hosting, databases, file storage, and delivery;
  • transactional email;
  • Google Sign-In when you choose that login method;
  • Google reCAPTCHA to protect registration and forms from automated abuse;
  • an AI gateway and language model providers when you use AI features;
  • diagnostic, security, and support tools.

These providers receive only the information needed for their function and process it on our behalf or under their own terms when you directly choose a third-party feature.

We may also disclose information when required by law, to protect rights and safety, or as part of a financing, reorganization, sale, or transfer of the business. We do not sell personal information for money.

5. Retention and deletion

We keep account information while the account is active and as needed to provide PlanTrack. Retention periods may differ for technical logs, change history, and backups.

After a verified deletion request, we will delete or de-identify the account and associated user content, generally within 30 days. Residual copies may remain in protected backups for up to 90 days and are removed through the normal overwrite cycle.

We may keep limited information longer when required to comply with law, resolve disputes, prevent fraud, or document completion of a deletion request.

6. International processing

ETB Studio LLC is based in the United States. PlanTrack and its providers may process information in the United States and other countries whose data protection rules differ from those in your country. Where required, we use legally recognized safeguards for international transfers.

7. Security

We use reasonable technical and organizational safeguards, including access controls, encrypted transport, password hashing, separation between accounts, and backups. No storage or transmission method can guarantee absolute security.

You are responsible for keeping your login information confidential and for activity through your account. Contact us if you suspect unauthorized access.

8. Your privacy rights

Depending on where you live, you may have the right to:

  • access your personal information;
  • correct inaccurate information;
  • receive a portable copy of information;
  • request deletion or restriction of processing;
  • object to certain processing;
  • withdraw consent without affecting earlier lawful processing;
  • complain to your local data protection authority.

Send requests to support@plantrack.app. We may need to verify your identity and authority over the account.

9. California residents

California residents may request information about the categories of personal information collected, used, and disclosed; access specific information; and request correction or deletion. We will not discriminate against you for exercising rights provided by law.

PlanTrack does not sell or share personal information for cross-context behavioral advertising as those terms are defined under California law.

10. Children

PlanTrack is not intended for anyone under 16. We do not knowingly collect information from children below that age. If you believe a child has provided information, contact us so we can delete it.

11. Changes to this policy

We may update this Policy as PlanTrack develops or legal requirements change. The new version will be posted on this page with a revised date. We will provide additional notice of material changes where required.
